I wrote this informational letter on how to write a memo.
MEMORANDUM
To: All Employees
From: Elliott Smith, President
Date: Monday, August 31, 2009
Re: New E-mail Policy
Effective immediately, Smith Manufacturing must instate a new policy regarding e-mail. As many of you know the mail server has crashed eight times in the past three months.
Smith Manufacturing has worked with a consulting firm, Alley Systems, to help resolve the situation. Based on recommendations from Alley Systems, I ask that all employees comply with the new policies described next.
Each employee will be limited to 100M of message storage space on the mail server. For a typical user, this means you will need to delete messages older than two months on a regular basis.
A virus checker will be installed on every system to check file attachments. It may not be disabled or uninstalled.
Messages will be monitored for content. Excessive personal use of the mail server will be considered a job performance issue.
Anyone who fails to follow the new polices will be notified immediately of a problem. Each notification will be entered as part of your employment record. Five or more notifications can serve as grounds for immediate termination.
Thank you for your cooperation. Please contact the Human Resources Department if you have any questions.
