Effective Communication – Writing A Letter

Good letter writing is an essential skill which makes you a successful professional. Modern day letter writing now assumes different forms such as email, snail mail, a complaint letter, posting in a forum etc.

Effective communication through letters is all about using powerful words at the right time at the right place in right proportion. Crafting a letter to initiate action from the other side needs special attention. It involves describing the circumstances involved and the action required in a authoritative way. This requires a great deal of effort from the author detailing the different aspects in a clear and logical way. The structuring of sentences has to ensure continuity and guide the reader to the core problem.

When you are dealing with a complex subject, try to make it as simpler as possible. Start with the basic issue and slowly help the readers to penetrate into the core issue to make them understand the real problems involved. Maintaining consistency all the way is vital for effective communication. This help you as a writer to gain confidence from the person who reads the letter.  This is especially true in case of Sales Letters. A Good sales letter is expected to prompt the reader to make a buying decision faster. Crafting effective sales letters involves clear understanding about the target audience (your potential customers) and products.  The ultimate objective of a good sales letter is sales and all effort should be focused to make the product or service very impressive.

Writing a complaint letter is another area where good letter writing talent is required to bring up the issue to authorities. It should not contain a negative tone in it. A negative tone could actually kill the complaint in its premature stage and sometimes could make the matter more complex.

The effectiveness of your letter is determined by the number of follow-ups for that letter.  A good letter can clear the matters in one go.
